Privacy statement

We collect as little as we can, keep it secure, and never sell it. This statement explains what we collect through proconplanning.com, why, and what you can ask us to do with it.
Who we are

What we collect and why
- Contact form. Your name, company, email, phone (optional) and message, to answer you. We keep it in our customer system (Microsoft Dynamics 365) so we can follow up and see earlier conversations.
- Job applications. Your name, contact details, LinkedIn (optional), CV and motivation, only to assess your application. Applications go to our recruitment mailbox. They are not stored in our customer system.
- The Critical Path (newsletter). Your email address, once you confirm it, to send the newsletter.
- Agent Mike. The questions you type, to answer them. If you leave your name and email in the chat, we treat it like a contact form message. If you use the microphone, your browser turns speech into text; depending on your browser, its maker may process the audio. ProCon only receives the text you send.
- Visitor statistics. Cookieless page counts that don't identify you.
Legal basis
- Steps you ask us to take, such as answering a question or a request for a proposal (contact form, Agent Mike).
- Your consent (newsletter, job applications). You can withdraw it at any time.
- Our legitimate interest in running a secure, working website (spam protection, statistics).
How long we keep it
- Job applications: up to 4 weeks after the application process ends, or up to 1 year if you agree we may keep your details for future roles.
- Contact messages and Agent Mike leads: 2 years after our last contact, unless you become a client.
- Agent Mike chat transcripts: 30 days, only to fix problems and improve answers. After that they are deleted automatically.
- Newsletter: until you unsubscribe.
Who processes it for us
We use carefully chosen providers who process data only on our instructions:
- Cloudflare: website hosting, spam protection (Turnstile) and cookieless statistics. Cloudflare serves the site from data centres worldwide, including in the EU. For transfers outside the EU it is certified under the EU–US Data Privacy Framework and uses the European Commission's standard contractual clauses.
- Resend: sending email from the website. Resend stores data in the United States, under the EU–US Data Privacy Framework and standard contractual clauses.
- Microsoft: email and our customer system, within Microsoft's EU Data Boundary.
- Anthropic: the AI model behind Agent Mike. Anthropic processes your questions in the United States, under standard contractual clauses.
The European Commission recognises these safeguards for transfers outside the EU.
Your rights
You can ask to see, correct, delete or receive your data, or object to how we use it. Email info@proconplanning.com and we'll reply within one month. You can also complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens.
Changes
We'll update this statement when our website or services change. The date at the top shows the latest version.
